Overview
Microsoft Teams allows emails to be sent directly to a channel using a unique channel email address.
When an email is sent to a channel, it becomes part of the channel conversation, allowing team members to discuss the message without forwarding emails back and forth.
This feature is useful for:
- Sharing announcements with a Team
- Forwarding information from external organizations
- Collecting automated notifications in a single location
- Keeping project-related emails with the rest of the team's conversations
Note: Not all Teams or channels support email. The feature may be disabled by your organization's administrator or by Team settings.
Get a Channel Email Address
To send an email to a Teams channel:
- Open Microsoft Teams.
- Navigate to the Team and channel.
- Select the More options (...) beside the channel name.
- Select Get email address.
- Copy the email address provided.
You can now use this address when sending or forwarding email from Outlook or another email application.
Send an Email
- Open your email application.
- Create a new email or forward an existing message.
- Paste the Teams channel email address into the To field.
- Complete your message.
- Select Send.
The email will appear as a new conversation in the selected Teams channel.
Reply to an Email in Teams
Once an email appears in a Teams channel, it behaves like any other channel conversation.
To respond:
- Open the email conversation in the channel.
- Select Reply.
- Enter your response.
Important: Replies made within Teams remain in the Teams conversation only. They are not emailed back to the original sender.
View the Original Email
If an email is too large to display completely in Teams, or you need to view the original formatting:
- Open the email conversation in the channel.
- Select View original email (if available).
The original message will open in its native format.
Troubleshooting
I don't see "Get email address."
This may occur because:
- Channel email is disabled by your organization's administrator.
- The Team owner has restricted the feature.
- The selected channel does not support email.
If you believe the feature should be available, contact the Technology Services Service Desk.
My email never appeared in the channel.
Possible causes include:
- The channel email address was entered incorrectly.
- The sender is not permitted to email the channel.
- The message exceeded Microsoft's size or attachment limits.
- The channel email feature has been disabled.
Attachments are missing.
Some attachments may not be delivered if they exceed Microsoft Teams limits or if the file type is restricted.
I received a delivery failure.
Email delivery can fail for several reasons, including:
- The channel email address is no longer valid.
- The channel or Team has been deleted.
- The associated SharePoint document library is unavailable.
- Organizational email restrictions prevented delivery.
Known Limitations
Email sent to Teams channels may not be delivered if:
- The feature has been disabled by the administrator.
- The channel restricts who may send email.
- The message exceeds Microsoft Teams size limits.
- The email contains a very large number of inline images or attachments.
- An attachment exceeds Microsoft's supported attachment size.
- The SharePoint site associated with the Team is unavailable.
Best Practices
- Use channel email addresses for information that should be shared with the entire Team.
- Avoid sending confidential information unless all Team members are authorized to access it.
- Use channel conversations to discuss the email rather than creating long email reply chains.
- Verify the channel email address before sending important messages.
