How to add a room resource calendar to Outlook

Overview

This article provides the details of adding a room resource in your Outlook calendar:

  • Outlook Windows Desktop version
  • Outlook Mac Desktop version
  • Outlook OWA Cloud application

Once you have completed the steps, the room resource should now appear under the Rooms section of the left menu in your Outlook calendar view.

Checking\unchecking the tick box to the left of the room name will add\remove the calendar to your main calendar view.

Outlook Windows (Desktop Version)

  • In your Outlook client, select the Calendar tab.
  • In the top menu ribbon, select the Folder tab, click on Add Calendar, and select the option to open From Room List...
  • In the search field, enter the name of the room resource, then press enter.
  • Select the name of the room resource you wish to add, then click on the Rooms -> button at the bottom of the window. Alternately, double click on the name of the room resource to add it to this field.
  • Click OK.

The room resource should now appear under the Rooms section of the left menu in your Outlook calendar view. Checking\unchecking the tick box to the left of the room name will add\remove the calendar to your main calendar view.

To remove a room resource from your calendar view, right click on the room resource name in the left menu and select Delete Calendar.

Outlook (Mac Version)

  • In your Outlook client, select the Calendar tab.
  • In the top menu ribbon under Home, select Open Shared Calendar.
  • In the search field, enter the name of the room resource, select it in the search results, and press Open.
  • The resource will now show up on the left side of the calendar in alphabetical order.

To remove a room resource from your calendar view, right click on the room resource name in the left menu and select Delete Calendar.

Outlook Web App (OWA)

  • Select the Calendar icon from the left menu page to bring up the Calendar view. 
  • In the Left menu pane, right click on the Rooms section and select the option to Add calendar...
  • In the Add Calendar window, select the radio button to add a Calendar from your organization, and click on the Name... button to open the Address Book.
  • In the new window, select All Rooms from the left menu, then search for the room resource you wish to add.
  • Double click on the room name, verify that it appears in the Select -> field at the bottom of the page, and click OK.
  • To remove a room resource from your calendar view, right click on the room resource name in the left menu and select Remove Shared Calendar.
